Meal Reservation Policy

Organised meal reservations, food wastage reduction, and dining hall guidelines for all residents.

Purpose

To reduce food wastage and ensure smooth kitchen operations by establishing organised, hygienic, and efficient meal reservation and dining guidelines for all residents.

1. Purpose of the Policy

This policy is designed to:

  • Ensure timely meal service for all residents
  • Minimize food wastage
  • Improve kitchen planning and operational efficiency
  • Maintain food quality and hygiene standards
  • Facilitate organized meal reservations and pickups

2. Meal Reservation Process

Residents who are unable to attend regular meal timings may reserve their meals through the designated process communicated by management.

Residents must:

Meal reservations are subject to operational feasibility and kitchen timelines.

  • Submit meal reservation requests within the specified time.
  • Follow the prescribed reservation method, including Google Forms or approved communication channels where applicable.
  • Provide accurate details such as: Name, Room Number, Meal Type, Reservation Timing

3. Reserved Meal Collection Timings

Reserved meals must be collected within the designated holding period.

Standard Meal Timings:

Meals not collected within the specified time may be discarded for hygiene and operational reasons.

  • Breakfast: Serving Time 7:30 AM – 9:30 AM, Reserved Meal Hold Time Till 9:45 AM
  • Lunch: Serving Time 12:30 PM – 2:30 PM, Reserved Meal Hold Time Till 3:30 PM
  • Snacks: Serving Time 5:00 PM – 6:00 PM, Reserved Meal Hold Time Till 6:15 PM
  • Dinner: Serving Time 8:00 PM – 9:30 PM, Reserved Meal Hold Time Till 10:00 PM

4. Tiffin & Labeling Requirements

Residents requesting reserved meals may be required to provide:

Management and kitchen staff may not be responsible for meal reservations if containers are not provided within the required timeline.

  • Personal tiffin boxes or meal containers
  • Proper labeling with: Name, Room Number

5. Food Wastage Policy

Ashray Living strongly discourages unnecessary food wastage.

Residents are requested to:

Failure to collect reserved meals repeatedly may attract operational restrictions or penalties as per management rules.

  • Reserve meals only when required.
  • Collect reserved meals on time.
  • Avoid reserving meals unnecessarily.
  • Take food quantities responsibly during buffet service.

6. Special Food Requests & Pre-Orders

Certain food items may require advance preparation or additional cooking time.

Residents are requested to:

Availability of customized meals remains subject to operational feasibility.

  • Place special food requests in advance wherever applicable.
  • Follow designated pre-order timelines communicated by the kitchen team.
  • Understand that special requests may not be accommodated during active buffet hours.

7. Bakery & Special Menu Days

For bakery items or special menu events:

  • Residents may be required to fill designated Google Forms or registration links.
  • Participation may depend on timely response submission.
  • Delayed or incomplete submissions may result in alternate meal allocation.

8. Dining Hall & Cafeteria Guidelines

Residents must follow all cafeteria and dining rules, including:

Food and utensils should not be removed from designated dining areas unless specifically permitted by management.

  • Maintaining cleanliness during and after meals
  • Avoiding food wastage
  • Returning utensils to designated areas
  • Respecting buffet discipline and queue systems
  • Not misusing dining facilities

9. Menu Flexibility

Ashray Living makes every effort to maintain menu consistency and quality.

However:

Resident feedback may be considered during menu planning wherever feasible.

  • Menu items may occasionally change due to operational or supply-related circumstances.
  • Seasonal availability and kitchen logistics may affect certain dishes.
  • Menu planning remains at the discretion of kitchen management.

10. Resident Conduct During Meal Service

Residents are expected to:

Any misconduct affecting dining operations or resident comfort may lead to disciplinary action.

  • Maintain respectful behavior towards kitchen and service staff
  • Follow serving instructions and dining schedules
  • Avoid crowding or disruptive behavior during meal hours

11. Management Rights

Ashray Living reserves the right to:

Management decisions regarding dining operations and meal services shall remain final and binding.

  • Modify meal timings and reservation procedures
  • Restrict misuse of meal reservation facilities
  • Revise menus, service methods, or operational policies
  • Introduce penalties for repeated food wastage or policy violations
